Property Manager Frequently Asked Questions
 
 
How do I gain access to homeowner information for my client?
  • Welcome to Holbrook Farms! The association allows long-term rentals as long as the lease is for at least 6 months or longer. Many homeowners in the association rent their homes and use property managers to manage their rentals. The homeowner should have access to confidential documents and financials on the homeowner website portal on this website. Please ask them for their login information if you require access, as we are not permitted to approve anyone but a homeowner for an account. 
Can I receive communications for my client?
  • If your client wants you to receive emails and statements on their behalf, they will need to email info@myholbrookfarms.com with proof of ownership (such as a deed) and tell us that they would like you to receive all communications going forward. They will need to include your company name, the property manager’s name, and your email and phone number. We will then update our internal system with your contact information. 
How do I pay quarterly assessments on behalf of my client?
  • Quarterly assessments are due on January 1, April 1, July 1, and October 1.
  • You can find information on how/when to pay assessments here.
Where do statements go?
  • Your client receives quarterly statements either via mail or e-mail. The default address is the property address unless otherwise previously specified by the homeowner. If you would like to switch from paper to e-statements or change the mailing address, please email info@myholbrookfarms.com and request the change.
What rules must the renter follow?
Are there any amenities in the community?
  • There will be several city parks throughout the community
  • Lifestyle events planned and hosted by the HOA management company
  • There is not a clubhouse for the master association (gyms, pool, common kitchen, etc.) There is a clubhouse and pool for the Gardens and Scandia Village.
